Position Summary

Reporting to the Director of Academic Administration and Finance (DAAF) in the Department of Economics, the Business Manager is responsible for the administrative budget, and supervision and reconciliation of all accounts. Incumbent processes all student, faculty, research, and staff appointments.

Responsibilities

  • Reporting to the Director of Academic Administration and Finance (DAAF) in the Department of Economics, the Business Manager is responsible for the administrative budget, supervision of all grant and gift accounts, and reconciliation of accounts connected with any special programs. Under the direction of the DAAF, develops, implements, and tracks budgets with periodic re­forecasting. Generates weekly, monthly, and quarterly financial reconciliation reports. Prevents overdrafts and ensures compliance with policies of granting agencies. Works closely with the Office of the EVP for A&S to perform fiscal year-end closing.

  • Acts primarily as approver and serve as backup initiator, as needed, for department HR and finance systems, including but not limited to ARC, PAC (People at Columbia), Labor Accounting, FDS and the Budget Tool; in conjunction with the DAAF, supervises full-time Financial Assistant.

  • Responsible for hiring, training, and supervision of the department’s casual and work-study staff; initiates and may approve payroll for casual and work-study employees; and ensures compliance with I-9 and NYS DOL 195 policies and procedures.

  • S/he is responsible for knowing and interpreting all University financial policies and systems, complying with internal audit, government, and private agency regulations on financial disbursements; responsible for managing day to day Accounts Payable and Purchasing operations.

  • S/he manages departmental events including but not limited to annual receptions and weekly meetings; manages schedules and maintenance of all departmental equipment; oversees departmental facilities and space utilization; and approves requests to Facilities Management for repair and space improvements. The Business Manager coordinates planned capital projects including departmental space renovations and faculty office upgrades for new and continuing faculty.

  • S/he serves as the department’s Secondary Effort Reporting Coordinator and supervises administration of departmental participation in the Faculty Research Allowance Program and other Arts and Sciences reimbursement and special funding programs for faculty; processes documentation and budget for sponsored and non-sponsored grants.

  • Responsible for the visa application process for the department’s international faculty and scholars.

  • Performs other financial and administrative duties as required.

Minimum Qualifications

  • Bachelor's degree or it's equivalent and two years of relevant experience.

Preferred Qualifications

  • Computer literacy, including proficiency with Excel, and the ability to acquire skills of the University's financial and personnel systems.

  • Ability to work independently, as well as collaboratively, and take independent ownership of projects.

  • Ability to handle confidential financial information with judgment and discretion.

  • Strong communication, interpersonal and organizational skills.

  • Ability to establish priorities independently without supervision but with good judgment.
