Advertised Summary Job Description Supervised by the Director of Design and Web Development, the Creative Services Traffic Manager (CSTM) oversees production scheduling and facilitates project completion for the Creative Services team, coordinating the activities of project team members to ensure the timely completion of multiple concurrent design and web development projects, supporting project work serving the School of Professional Studies. In this role, they will own the production calendar of active and coming projects, as well as coordinate with the Associate Director of Web Development and Technology who oversees the online project systems used to manage web development. The CSTM communicates with print vendors to solicit bids and ensure complete specifications are in hand for the design and production of print collateral, promotional items, and event dress materials.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
Developing project timelines with team members, and ensuring the assignment of roles and tasks based on the overall department production schedule, coordinating as-needed with the Director of Design and Web Development. Creating and maintaining the departmental production schedule. Assigning and prioritizing projects based on requirements, importance, individual workloads, and ease of completion.
Regularly re-prioritizing and planning production with the Director of Design and Web Development based on monitoring of projects and communication with production staff . Contacting stakeholders to ensure timely approvals and reviews.
Working with vendors and internal stakeholders to establish processes that streamline recurring production needs.
Managing the vendor bidding and procurement processes for all Marketing projects, as well as communicating knowledgeably with Columbia and external vendors, such as printers and promotional item producers, regarding specifications and production and delivery timelines.
Coordinating with the [Marketing Specialist] who handles billing, shipping and logistics, and warehousing.
Maintaining production expense records to enable tracking and reporting on all production expenses. Using Basecamp, our online project system, to expand and maintain our record of all new projects and manage team collaboration, and communication with stakeholders. Managing overall platform administration, as well as providing training and orientation for the system as new stakeholders or Creative Services staff members are brought on board.
Recommending the adoption of new and/or related processes and systems for project collaboration and management, supporting the changing needs of the team and the school.
Perform other duties and special projects as assigned or requested.
Minimum Qualifications for Grade
Applicant MUST meet these minimum qualifications to be considered an applicant Bachelor's degree or combination of experience and education required

Additional Position-Specific Minimum Qualifications
Applicant MUST meet these minimum qualifications to be considered an applicant - Experience managing and/or trafficking web and print projects in an agency, marketing, communications, or PR organization or department.
Strong oral and written communication skills.
Excellent organization skills.
Ability to communicate effectively and persuasively with colleagues in roles senior, equivalent, and junior to their own within an organizational structure.
Experience prioritizing multiple, parallel, time-sensitive projects.
Knowledge of Google docs, Google Sheets, Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
Preferred Qualifications - Ability to work well under moderate supervision, as well as collaborate with a small team.
Experience working with project software.
4 Years of related experience
Experience in a marketing department or organization.
