Job TitleSenior Executive Assistant
Job Description SummaryResponsible for providing overall administrative support to the Global Chief Operating Officer (COO) in an efficient and effective manner. The Sr. Executive Administrator will also work with the Director, Operations Innovation to provide support and assist in strategic projects. Incumbent must have the ability to work in a highly confidential environment. The Sr. Executive Administrator must have excellent written and verbal communication skills. Strong organization skills and critical thinking competences proficiencies are essential.
Job Description
- Drafts letters, emails, reports, and other correspondence on behalf of the COO
- Manages the COO s calendar and prioritizes their time and schedule
- Arrange internal meetings, external appointments, conference calls, and conference rooms including travel management
- Coordination and prioritization of numerous meetings and requests for meetings
- Prepares for all board meetings and global management meetings
- Coordinates all logistics for key meetings and visits
- Responsible for managing complicated expense requests and other administrative duties
- Assist with personal matters as required
Skills and Qualifications:
- BA or BS required
- Proven experience organizing and directing multiple teams and departments
- Excellent communicator in written and verbal form
- Extremely versatile, dedicated to efficient productivity
- Demonstrate suitable confidence, experience, and maturity to interface with senior executives and customers
- Minimum of 7-10 years of experience in a Senior Executive Assistant role, with demonstrated ability to work under pressure and in a fluid, dynamic work environment
- Demonstrate suitable confidence, experience, and maturity to interface with senior executives and customers
- Experience with domestic and international travel
- Experience with project management and solid business judgment
- Excellent at and eager to collaborate with many different people and groups
- Great critical and analytical thinking skills and problem-solving skills including the ability to research and learn new skills independently
- Strong written and verbal communication skills
- Expertise in MS Office: PowerPoint, Word, Excel and Outlook
- Ability to multi-task and meet deadlines for multiple projects
- High level of commitment, quality and results-driven, is highly organized and detail-oriented
- Ability to build strong working relationships with a discerning and diplomatic approach
- Ability to prioritize, work unsupervised and manage a varied workload
- Strong numeracy skills with an ability to understand basic financial documents
- Comfortable and savvy with technology and willing to troubleshoot problems with smart phones, laptops, and tablets
