Advertised Summary Job Description Reporting to the Associate Dean of Student Affairs, the Student Affairs Office Coordinator will be responsible for assisting with various administrative activities in the Office of Student Affairs (OSA). The incumbent will be the first point of contact for students, faculty, staff, and visitors for the four OSA departments: Admissions, Financial Aid, Student Services, and Student Life.
Specific responsibilities will include:
Serving as the first point of contact in greeting visitors and triaging them to the appropriate department/person;
Answering the department telephone lines of the OSA departments in a timely manner and responding to inquiries appropriately;
Entering prospective applicant data for student walk-ins, calls and appointments in the admissions applications system (SLATE);
Updating and maintaining the OSA operational calendar with events, deadlines, staff away, and other scheduling;
Creating and distributing all graduation certificates and pins to students;
Assisting in all aspects of event planning for the OSA offices, including reserving room and event spaces, ordering food, and participating in events when requested;
Maintaining the OSA inventory of giveaways and materials for Open Houses, Visiting Day, Graduation, Orientation, Financial Aid workshops, and other student events;
Coordinating and scheduling monthly OSA staff meetings, creating the agenda, and maintaining the minutes;
Managing the reservation system for student study rooms and working with the Operations team regarding scheduling conflicts or issues;
Keeping the OSA Office supply inventory replenished including placing orders with the Operations team;
Monitoring office equipment and communicating any operational issues or software updates to Facilities/IT/Operations as needed;
Overseeing office mail, faxes and deliveries; and
Performing other projects and duties as assigned.
Minimum Qualifications for Grade
Applicant MUST meet these minimum qualifications to be considered an applicant Requires a Bachelor's degree or equivalent in education, training and experience, plus three (3) years of related experience.
Additional Position-Specific Minimum Qualifications
Applicant MUST meet these minimum qualifications to be considered an applicant The successful incumbent must possess excellent verbal/written communication and interpersonal skills. S/He will be able to work successfully under pressure and be willing to work more than the traditional work week when necessary. The Coordinator will be a team player, as well as able to work independently, while exhibiting excellent judgment and discretion and maintaining confidentiality at all times. S/He will be computer literate, with a solid background in Microsoft Word and Excel.
Preferred Qualifications Two (2) years of experience in a higher education setting is strongly preferred. Knowledge of Columbia University's SIS system and admissions/student databases is also preferred.
