Position summary

This position is responsible for operating telephone switchboards and consoles to connect, hold and transfer telephone calls and to provide information to assist clients or refer them to appropriate

contacts, either in the organization or elsewhere. Employee performs routine, and some non-routine, continuous work involved primarily with the operation of a telephone switchboard and the operation and maintenance of a computerized database of telephone information.

Job duties

    • Answer telephones in Message Center utilizing a multi-line phone system.
    • Utilize appropriate logs for tracking issues with calls.
    • Maintain phone lists as per procedure.
    • Handle additional projects as assigned.
    • Communicate with manager and client on job or deadline issues
    • Ensure that request tickets are properly filled out before beginning work.
  • Ability to handle high-stress environments

  • Complete various tasks as specified per request.

  • Notify appropriate staff when calls are processed incorrectly.

  • Troubleshoot basic equipment problems. Place service calls when needed.

  • Assist in training new hires.

Requirements

Job qualifications

  • High school diploma or equivalent

  • Minimum of one year switchboard operator experience required (PBX, or private branch exchange switchboards, or voiceover Internet protocol switchboards)

  • Previous receptionist or administrative experience preferred, preferably in a legal, banking or large corporate environment

  • Intermediate PC Skills required: Microsoft Office, Word, Excel, Outlook

  • Attention to detail with emphasis on accuracy and quality

  • Ability to prioritize work to balance multiple projects and deadlines

  • Excellent verbal written communication skills

  • Exceptional customer service skills

  • Ability to handle a high volume of incoming, outgoing, and interoffice calls

  • Customer service oriented - actively looking for ways to help people.

  • An extremely professional phone manner with an upbeat and pleasant phone voice

  • Can be trusted with sensitive and/or confidential documents and information.
