Position Summary:

This Adminstrative Assistant role is responsible for providing administrative support to the 3 business leaders.

This individual will have responsibility for setting up meetings, consolidating slide decks in PowerPoint, loading and updating digital content, making travel arrangements, assisting with the preparation of internal reports, data collection and summarization, word processing, copying and filing. This position will interact with business unit management, shared functions management, global and external partners, entities and clients.

In addition, will provide support with specific marketing activities such as internal communications to marketing team and regions, uploading and distributing marketing assets in digital platforms, getting documentation through regulatory approvals, following up on regional translations and maintaining document libraries.

Position Responsibilities:

Handling daily administrative assignments given by General Managers and Directors.

Managing and dispositioning POs generated by the organization.

Being creative, will consolidate and reformat content and graphics from PowerPoint slide decks.

Coordinating travel requirements (flights, hotels, ground transfers) for above and their direct reports.

Maintaining a constant flow of organizational changes, and key messages across the organization.

Organizing meetings, conferences, and workshops, including setting up logistics and communicating/distributing key material prior to those events.

Assist with global trade shows (RSNA and ASNT) to coordinate on sight activities (may include travel to the show for booth, manpower and meeting coordination.

Marketing communication regulatory approvals.

Updating web content and marketing assets in the different platforms (particularly D.A.M.).

Work with product marketing team to provide support in materials development, communication and deployment.

Work with global marketing teams to develop and deploy training programs for sales and marketing teams globally.

Project management and follow up with internal and external parties to deliver marketing projects.

Required Skills & Education:

Minimum 4 years working experience, preferably with at least 3 years in similar support role of business leaders

Ability to work in a high activity office

Highly proficient in MS Word, Excel and PowerPoint.

Microsoft Office, ideally Office 365.

Must be in the Carestream office 3 or more days per week.

Ability to manage travel and expense manager

Ability to process purchase orders and setting-up invoices for payments

Assisting with the preparation of internal presentations

Strong initiative - willing and proactive in learning new tools, independently seeks out answers, leverages resources to solve problems
