Part Time position, Weekdays (Mon-Fri), 10am-2pmMAIN FUNCTION:

  • To provide day to-day secretarial and clerical services for the Clinical Department. To assist the Clinical Director with the daily operation of the Clinical Department.

  • User role(s) information systems access as assigned, where applicable

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Update the daily census in the Electronic Medical Record (EMR) and note any changes that have occurred, i.e., room changes, discharge date changes, etc.

  • Screen all calls directed to clinical office and distribute messages accordingly.

  • Assist staff of clinical department with office documents such as letters and memos.

  • Responsible for distribution of all incoming clinical staff mail and outgoing clinical staff and client mailings.

  • Update and provide weekly updated client caseload for counselors.

  • Responsible for “cash box” provided by the accounting department.

  • Prepares all purchase orders generated by the clinical department for Clinical Director’s signature.

  • Maintains files on all clinical staff members regarding benefit time, supervision notes, etc.

  • Prepares payroll for clinical department staff, recording sick days, vacation days, lateness, etc. for Clinical Director to sign at the end of pay period.

  • Maintain inventory and order supplies for clinical office and counselors.

  • Types and distributes Clinical Director’s correspondence and other department correspondence as needed.

  • Maintains and updates manuals of supervision, staff meetings, clinical forms and policy and procedure manual for the clinical department.

  • Update task oriented group binder on a weekly basis.

  • Maintains office equipment in working order and coordinate repair.

  • Make risograph copies for departments (clinical, intake, housekeeping, etc.)

  • Performs other duties as assigned.

COMPETENCY REQUIREMENTS:

  • Proficient in computer usage including EMR system, Microsoft Outlook and other information systems.

EDUCATION AND QUALIFICATIONS:

Completion of office administration courses. Good typing, and phone skills. Three years business/office management experience. Background in alcohol and substance abuse preferred.
